This policy explains what information the SMM HSA Volunteer Portal collects and how it's used.
What We Collect and Why
When you register for an account, we collect basic contact information so we can communicate
with school parent volunteers and provide tools for committee collaboration — things like
sharing announcements, coordinating events, and giving committees a shared place to manage their
members and store files.
Registration Is Optional
Creating an account is voluntary. You are not required to register in order to be a school
parent or volunteer — the portal is simply a tool available to those who choose to use it.
Third-Party Services We Use
To provide these features, the portal relies on a small number of outside services:
- Brevo — used to send emails and announcements.
- Google Drive and/or Cloudflare R2 — used to store
files shared through the portal.
These services only receive the information necessary to do their job — for example, an
email address to send a message, or a file you've chosen to upload.
Role-Based Access
Not everyone using the portal has the same level of access. Permissions are assigned based on
your volunteer status — for example, a Committee Chairperson may have different access
than a general Committee Member — so the right people can manage the right information.
Hosting & Security
The portal and the information it stores are hosted securely on Hostinger, a commercial web
hosting provider.
